Your responsibilities
- Support in daily operations and in administrative processes (organization of meetings/trips, minute taking, official correspondence, internal reimbursements etc.)
- Coordinate the Reception coverage
- Support throughout the entire employee lifecycle, including hiring processes (e.g. organization of interviews, conducting preliminary interviews) and on/offboarding
- Support the payroll preparation with our external partner for permanent and external staff
- Support the personnel administration and HR organizational matters (filing, master data administration and maintenance, correspondence, maintenance of personnel files, HR database control and maintenance, time recording, absence administration, data reconciliation and entry, etc.)
- Prepare HR documents (confirmations, certificates, work contracts, side letters to work contracts, etc.) for permanent and external staff
- Ensure the fulfillment of administrative requirements for the employment of foreigners (e.g. work permits)
- Prepare the Teaching Load overview on an annual basis
- Participate in the optimization of HR organization and in various HR projects
- Implement the course evaluations and other student surveys
- Maintain and draft forms or guidelines for internal use
- Compile and analyze data relevant to drafting reports and for participation in rankings and surveys (e.g., Multirank, Statistik Austria, etc.)
- Draft reports (e.g., Annual Report to AQ Austria) and accreditation proposals
- Contribute to the development of new processes for improving the institutional quality management system
- Assist in revising rules and regulations while ensuring their compliance with the PUG, the HSQSG and other policies stipulated by the AQ Austria
Your profile
- University degree.
- Ideally a minimum of two years full-time relevant work experience, preferably in higher education or familiarity with a university environment.
- Excellent verbal and written communication skills in English; German is an asset.
- Strong organizational and time management skills, proven ability to work independently and to prioritize tasks.
- Maturity and strong work ethic; proactive, agile and engaged attitude with a results-driven mindset.
- Office and project management skills.
- Affinity to collect and analyze data.
- IT affinity and excellent knowledge of MS office, especially Excel and Outlook.
- Valid work permit in Austria.
